Effective Emailing

Professors and other school personnel get many emails from students. Emails that are vague or confusing may not be answered as quickly or accurately as emails that are clear and concise. Follow these steps for writing effective emails.

  • Before you start: Check the syllabus, other class materials, and your notes to see if you can find the information you need. Checking with a classmate can also help.
  • Subject line: Don't leave the subject line blank or say something generic like "Question". A subject line should be short but specific. If the email is about a specific class include the course name or number and a few words about the question or issue. Examples:
    • Health Care Law and Ethics - Absences
    • PSY 101 - Question about Research paper
    • Immunization documents
  • Salutation / Greeting: Saying Dear is traditional, and it's also ok to say Hello or Good Morning. Follow that up with an honorific such as Dr., Professor, Mr. or Ms., then the name. Examples:
    • Dear Professor Grant,
    • Good Morning Dean Bator,
    • Dear Mr. Arnaboldi,
    • Hello Ms. Nelson,
  • The reason for the email: State the question or concern directly, clearly, concisely, and respectfully. The goal is for the person reading the email to quickly understand the issue and what you are asking them to do in response. If appropriate, say what you've already done to try to solve the problem and/or suggest a possible solution. Examples
    • I looked at the syllabus but I still have a question about the assignment
    • I've already spoken to my professor about <concern> but could not resolve it
    • I asked the librarian for assistance but was unable to find enough information on <assigned topic> - is it ok if I change to <preferred topic>?.
  • Closing: Use a polite phrase and/or a closing salutation:
    • Thanks for your help.
    • Have a great day.
    • Best,
    • Sincerely,
  • Signature: Use your first and last name. If you are emailing someone at the school who may not know you, include your program and start date. You can also include your phone number if you would like the person to text or call you.

Give the email recipient time to respond. Sometimes emails are overlooked, so check back if you don't hear within a reasonable time.
